The ROCS Group is looking to employ an Executive Personal Assistant (EPA) to the CEO. The EPA’s role is one to further enhance the CEO’s capability to expand, develop and manage the business efficiently by assuming responsibilities for administrative duties so that the CEO can spend maximum time on strategic tasks.  
Complete discretion and confidentiality must be maintained at all times by the EPA and an understanding that this role emulates who and what the CEO is and how they are perceived within and outside of the group of companies.

You must also possess the following knowledge, skills and abilities:

    • Excellent written and oral communication skills in English and Maltese (other language skills are a benefit);
    • Experience in a similar post;
    • Proactiveness, flexibility, and adaptability to juggle between a range of tasks 
    • A sense of discretion and trustworthiness as they will be party to confidential information
    • Excellent word processing and IT skills, including a range of software packages and comprehensive capabilities in Microsoft Office (Word, Excel, PowerPoint and Outlook);
    • Strong administrative and personal assistant skills with an ability to work well and in an organised manner in a fast-paced environment,
    • Be an effective planner with proven time management skills are necessary; attention to detail, personal commitment, efficiency, flexibility, with great team liaison skills;

    Having a first degree and an A’ level standard of education in accounting and/or having a background in accounts will be considered an asset.

The key responsibilities of this post include:

    • acting as a first point of contact, dealing with correspondence and phone calls
    • managing diaries and organising meetings and appointments
    • booking and arranging travel, transport and accommodation
    • organising events and conferences
    • reminding the manager/executive of important tasks and deadlines
    • typing, compiling and preparing reports, presentations and correspondence
    • managing databases and filing systems
    • implementing and maintaining procedures/administrative systems
    • liaising with staff, suppliers and clients
    • collating and filing expenses
    • having control over the company emergency phone and delegate accordingly.
    • miscellaneous tasks to support the CEO, which will vary according to remit
